How the time card calculator works

Whether you call it a time card calculator, timecard calculator, time clock calculator or punch card calculator, the job is the same: turn your clock-in and clock-out times into paid hours. For each day, the calculator subtracts your clock-in time from your clock-out time, then removes any unpaid break minutes. If your clock-out time is earlier than your clock-in time, it treats the shift as overnight and adds 24 hours, so a 10:00 PM to 6:00 AM shift counts as 8 hours.

The daily totals are added together for the week. Overtime follows the rule you pick: hours above 40 in the week (the federal FLSA rule), hours above 8 in a single day (used in some states such as California, along with other rules), or no overtime at all.

Example: a 40.5 hour week

DayInOutBreakHours
Mon9:00 AM5:30 PM30 min8:00
Tue9:00 AM5:30 PM30 min8:00
Wed8:30 AM5:30 PM30 min8:30
Thu9:00 AM5:00 PM30 min7:30
Fri9:00 AM6:00 PM30 min8:30

Total: 40 hours 30 minutes, which is 40.50 decimal hours. With weekly overtime after 40 hours, that is 40 regular hours and 0.50 overtime hours. At $20.00 an hour, gross pay is 40 × $20 + 0.5 × $30 = $815.00.

Hours and minutes vs. decimal hours

Payroll systems use decimal hours, not hours and minutes. 40 hours 30 minutes is 40.50 hours, not 40.30. To convert, divide the minutes by 60: 15 minutes = 0.25, 30 minutes = 0.50, 45 minutes = 0.75. The calculator shows both so you can check your paycheck. For a quick lookup, use the decimal hours calculator.

Frequently asked questions

How do I calculate hours worked with a lunch break?

Subtract your start time from your end time, then subtract the unpaid lunch. For 8:00 AM to 4:30 PM with a 30 minute lunch: 8 hours 30 minutes minus 30 minutes equals 8 hours. Enter the break minutes in the Break column and the calculator does this for every day.

How is overtime calculated on a time card?

Under the federal Fair Labor Standards Act, non-exempt employees earn at least 1.5 times their regular rate for hours worked over 40 in a workweek. Some states also require daily overtime. Choose the overtime rule that matches your job in the Overtime setting.

Does the time card calculator work for overnight shifts?

Yes. If the clock-out time is earlier than the clock-in time, the calculator assumes the shift ended the next day and counts the hours across midnight.

How do I convert minutes to decimal hours?

Divide the minutes by 60. 45 minutes ÷ 60 = 0.75 hours, so 7 hours 45 minutes is 7.75 hours.

Is my time card data saved?

Your entries are stored only in your own browser on this device so they are still there when you come back. Nothing is sent to our servers.

Can I calculate two weeks at once?

Yes. Use the biweekly time card calculator for a 14 day pay period with overtime counted for each week separately.
